A rental search should not become a screening file.

Information Placyn handles

Placyn also records aggregate search, save, signup, alert, and contact steps using event categories and anonymous signed measurement tokens. These events exclude names, contact details, search text, and message contents, stay in Placyn, and are not sent to Google Analytics. Browser funnel measurement respects Global Privacy Control. Alert delivery comes from a signed email-provider event; an alert click is recorded when its signed Placyn link opens. Placyn does not add an email-open tracking pixel.

• Your email address for passwordless sign-in.
• Your name and any contact details or communication preferences you previously provided.
• Saved rental searches, alert settings, and saved rentals and past listing choices.
• Optional monthly expense estimates you enter in the affordability calculator.
• Owner-listing drafts, full property address, rental details, photos, contact choices, permit information, authority basis, required acknowledgments, submission status, and review notes.
• Private owner-renter conversation content, participants, read status, block settings, abuse reports, and delivery records when you use Placyn messages.
• Basic technical and security records needed to operate and protect the service.
• For signed-in renters, a daily record of rental-site visits, alert email submission, and manager-contact actions. These records contain an account ID, event type, and time; no browsing history, listing identifiers, or message contents. Separate aggregate delivery and click events use anonymous traces rather than account IDs.

How that information is used

Placyn uses account data to authenticate you, keep your saved search and shortlist in sync, deliver alerts you enable, provide support, prevent abuse, and maintain the service. Placyn also uses these daily activity records to understand whether renters return after alerts and take a contact action. These records stay in Placyn and are not sent to Google Analytics. Authorized team members may access account and alert information when needed for support and operations.

Chatting with Naia

When you use Ask Naia, your current question and up to ten recent chat messages are sent through Placyn to Naia and its DeepInfra AI provider to generate a reply. Placyn does not save these messages to your account, shared rental memory, or analytics. The conversation stays in the page while it is open; Start a new chat or reloading clears it. The AI provider processes messages under its own data policies. Please do not include contact details, identification, screening documents, or private financial information. Technical usage counts and anonymous rate-limit records help control cost and abuse. Naia cannot submit an application or contact a manager for you.

Room-seeker profiles and private requests

Joining the roommate pilot is optional. When you explicitly share a profile, signed-in Placyn members can see your first name, introduction, preferred areas, room budget, move window, intended stay, number moving in, the household details you enter, and your main profile photo plus up to five additional photos. Photos follow your profile’s visibility and blocking settings. We remove embedded photo metadata during upload. You can remove photos from your profile editor. Your optional account last name is private and is not displayed on roommate profiles or in roommate messages. Authorized Placyn staff can access it for account support. Your account email, phone, saved rentals and personal cost plan are not included. Discovery profiles are excluded from search-engine indexing and automatically hidden after 30 days unless you renew them. You can save privately or pause at any time.

A private request shares your account first name and introduction with the recipient. Further messages require acceptance. Blocking stops new messages and hides each person from the other’s discovery results. The roommate inbox includes controls to remove your own blocks. Report reasons are available only to authorized Placyn administrators, who can review the reported profile or conversation and suspend access. Existing conversations and safety records may remain after a profile is paused. The pilot does not send roommate email or text notifications.

Placyn measures profile participation, message requests, two-way conversations, response time, and voluntarily reported outcomes such as finding a room. These pilot records stay within Placyn’s operational tools and are not sent to Google Analytics. Contact Placyn to request deletion of your profile or account.

Your monthly cost plan stays personal

Expense estimates in the affordability calculator are used to calculate your personal monthly total and find rental asking prices that fit the limit you set. They are not shared with listing managers, people sharing a rental search with you, or Placyn’s internal account tools, and Placyn does not treat them as an application, income verification, or rental-approval decision.

Inquiries to MLS listing managers

When you submit a manager inquiry, you authorize Placyn to email your name, reply email, desired move-in date, and message, together with the property reference, to the public manager contact from that listing. The email service processes that information for delivery. The manager replies directly to your email; these replies are not stored in a Placyn conversation. Placyn does not include your saved searches, saved rentals and past listing choices, cost plan, or other account information.

Placyn stores hashed delivery metadata, request identifiers, attempt counts, and send status to limit abuse and prevent duplicate emails. This delivery table does not store inquiry text, names, email addresses, or raw IP addresses. Inquiry content also exists in the delivery provider’s records and the recipient’s inbox. Phone and email links still open your device’s contact method, where you choose what to send.

Reports and concerns

When you use Report a concern, Placyn stores the category, subject, details, optional Placyn page URL, and optional email address you provide. Reports and their review history are available to Placyn administrators for support and safety review; they are not published on listings or shared with other renters or owners through this form. Placyn also uses a hashed network identifier and submission counts to limit abuse. Raw IP addresses are not stored in complaint records. You can report without an account and leave your email blank.

Private owner messages do not reveal account email addresses

When a homeowner enables private messages, Placyn stores the conversation for the signed-in renter and homeowner dashboards. Placyn may send a transactional email notification with a secure link to the conversation, but the renter and homeowner do not receive one another’s account email address or phone number from Placyn. Renters’ first names appear in conversations; an owner’s name appears only when the owner chooses to display it. Anything you type, including contact details you choose to share, is visible to the other participant. Do not use Placyn messages for identification, financial records, application documents, passwords, or payment.

Blocking and reporting a conversation

Either participant can block a conversation to stop new messages in that thread. Only the person who set a block can remove it. Reporting stores your concern for authorized Placyn administrators and lets them review the reported conversation. The other participant does not receive your report. People sharing a saved rental search do not gain access to your private conversations.

Owner-listing drafts are private until approval

Placyn uses owner-listing information to save your draft, review the proposed rental, prevent unauthorized publication, operate the listing, and respond to support or safety concerns. Drafts, full addresses, permit information, acknowledgment records, and review notes are available only to the signed-in advertiser and authorized Placyn reviewers. If Placyn approves the listing, the city and neighborhood are public; the owner chooses whether to display the exact street address, name, email, and phone number, and whether to accept private Placyn messages. Placyn may retain submission and review records for security, dispute, legal, and operational needs.

Service providers and separate sign-in

Placyn uses service providers for secure account storage and email delivery. Its sign-in identity, profile, rental searches, and saved-rental data are kept in a dedicated Placyn account system. Service providers process information only to perform their contracted functions, and data may also be disclosed when required by law or needed to protect the service.

Contact information and communication preferences

Previously provided mobile information and communication preferences are not shared with third parties or affiliates for their marketing or promotional purposes. Contact Placyn if you would like that information removed.

Retention, choices, and deletion

You can remove individual saved searches and rental choices from your account. To request deletion of your Placyn account and its associated rental data, use the contact page. This request applies only to data held by Placyn, LLC.

Analytics, cookies, and sale of personal information

Placyn uses Google Analytics to understand visits to public pages and high-level inquiry actions, such as choosing to call or email a listing manager or copying an inquiry message. It is configured without Google signals or advertising personalization. Placyn does not intentionally send Google Analytics account or profile details, saved searches, affordability inputs, inquiry text, form-field contents, listing identifiers, or URLs for sign-in, account, authentication, or internal team pages.

Google Analytics uses a first-party cookie with a random client identifier and processes session, browser, device, and approximate location information. Google states that IP addresses are used at collection time to derive location information and then discarded before the data is logged. Placyn does not sell personal information and does not use this analytics setup for third-party advertising.
